The Opportunity

GreenBlue’s Marketing and Communications team is seeking an Events Associate to join their team. This position will work closely with the rest of the Marketing Communications team and will report to the Senior Manager of Events. This role will include coordination of external GreenBlue Events and admin support for internal GreenBlue Events (employee events). We’re looking for a highly skilled Events Associate who can help make our events consistently efficient and cost-effective whilst elevating the event experience for our key stakeholders (sponsors, exhibitors, speakers, partners). The ideal candidate will be proficient in event planning, and manage communications with these stakeholders as well as internally. Above all, the Events Associate must be comfortable in a role that demands a creative, detail oriented mindset. This is a remote position based in the Continental US. The Events Associate will:

  • Develop a complete understanding of the requirements and intricacies for each of GreenBlue’s events.
  • Support the Senior Event Manager in creation, management and updating of the event technology. This includes event websites, registration systems, apps and webinars.
  • Support the Senior Event Manager to research and hire external suppliers/vendors as needed across all functions of the events (ex: exhibit booths, catering, decor, shipping, labor) and make selections based on their creativity, quality, and cost/budget.
  • Work with venues to plan logistics.
  • Handle day-to-day administration of large events and their smaller gatherings. This includes registration reporting and managing multiple event dedicated email inboxes, F&B selection, vendor monitoring, restaurant reservations, RSVP tracking, and issue resolution.
  • Assist on-site for events set up, execution, and breakdown
  • Assist the Senior Event Manager with post event success metrics
  • Uphold the company’s mission and vision with every event

  • Know your way around project management and what makes a great event, including the nitty gritty details and the unexpected
  • Are comfortable negotiating with external vendors, navigating quotes and budgets
  • Are looking for a role at a Mission-based organization

What you will bring:

  • Bachelor’s degree in a related field and 2+  years experience in meeting and event planning/a similar role
  • A proven track record of creative, successful events
  • Experience producing corporate multi-day events ranging from 10 people to 800 people
  • Experience in customer service
  • Some proficiency in virtual event management, event software (we use BigMarker) & HTML is preferred
  • Experience and working knowledge of event tools such as Social Tables, Sli.do, Online RSVP software, Calendly, Preseria, Event apps and systems
  • Excellent written and verbal communications skills.
  • Proficient knowledge of Google Suite, Microsoft Suite, Canva, AWS
  • An interest in sustainability or related environmental issues; particularly around sustainable event practices. 
  • Experience working in a matrixed environment collaborating and implementing multiple projects
